DeskView AI ("we," "our," or "us") provides a real-time dealership intelligence platform for automotive retail operations. This policy explains what information we collect, how we use it, and your rights. By using DeskView AI, you agree to this policy.

1. Information we collect

Information you provide

Account information: name, email address, role at your dealership, dealership name, and password (stored hashed).
Dealership operational data: deal records, salesperson profiles, customer interaction logs, sales goals, and related metrics that you or your team input into the platform.
Communications: messages, support requests, and feedback you send to us.

Information collected automatically

Usage data: pages viewed, features used, click events, session duration, and similar telemetry.
Device data: browser type, operating system, IP address, device identifiers, and approximate location based on IP.
Cookies and similar technologies: we use cookies for authentication, preferences, and analytics. You can control these in your browser settings.

2. How we use information

To provide, maintain, and improve the platform.
To authenticate users and protect against fraud or abuse.
To send service-related communications (security alerts, billing, support responses).
To analyze usage and improve product performance.
To comply with legal obligations.

3. AI and machine learning

DeskView AI uses large language models from third-party providers (currently Anthropic) to generate insights, coaching prompts, and analytics responses. When you use AI features:

Your dealership data may be sent to the AI provider strictly to generate the requested response.
We do not use your dealership data to train any third-party AI model.
AI providers process data under their own data protection terms, which we vet for enterprise use.

4. Sharing of information

We do not sell your data. We share information only with:

Service providers who help us operate the platform (hosting, database, analytics, AI inference, email delivery, payment processing). Examples include Supabase, Vercel, Anthropic, and Stripe.
Legal authorities when required by law or to protect rights, safety, or property.
Business transfers: in connection with a merger, acquisition, or sale of assets, your information may transfer to the successor entity.

5. Data retention

We retain your data for as long as your account is active and as needed to provide the service. After account closure, we delete or anonymize personal data within 90 days, except where retention is required for legal, accounting, or security purposes.

6. Security

We use industry-standard safeguards including encryption in transit (TLS 1.3), encryption at rest, access controls, and regular security reviews. No system is 100% secure; you use the platform at your own risk and are responsible for safeguarding your account credentials.

7. Your rights

Depending on where you live, you may have the right to:

Access the personal information we hold about you.
Request correction or deletion of your data.
Object to or restrict processing.
Request a copy of your data in a portable format.
Opt out of certain data uses.

For California residents (CCPA/CPRA)

You have the right to know what personal information we collect, to delete that information, and to opt out of any sale (we do not sell personal information). You will not be discriminated against for exercising these rights.

For EU/UK residents (GDPR)

Our legal bases for processing are: performance of a contract, legitimate interests in operating and improving the service, consent (where applicable), and compliance with legal obligations. You may lodge a complaint with your local supervisory authority.

8. Children

DeskView AI is intended for use by employees of automotive dealerships and is not directed to children under 16. We do not knowingly collect personal information from children.

9. Changes to this policy

We may update this policy from time to time. We will post the new version here and update the "Last updated" date. Material changes will be communicated by email to account administrators.
